Full Terms & Conditions

Thames Valley Air Ambulance is licensed by the Gambling Commission to run a society lottery for its charitable purposes.  A policy stating its full terms and conditions is required to ensure gifts are solicited and accepted from trustworthy sources and can be used to achieve the purposes of the charity.

This policy sets out Thames Valley Air Ambulance’s Lottery Terms and Conditions.to assist in our compliance with the Gambling Act 2005 and our Licensing Codes and Conditions of Practice (LCCP).

This policy applies to all staff and volunteers within the charity and to Lottery Fundraising Services.

The Terms and Conditions within this policy apply to all entrants in the lottery, without exception.

TVAA – Thames Valley Air Ambulance.

Gambling Commission – Regulatory body of all registered gambling activities

Charitable Purpose – What Thames Valley Air Ambulance is there to provide for beneficiaries.

Gambling Act 2005 – An Act of Parliament mainly applying to England and Wales and Scotland and designed to control all forms of gambling.

LCCP – Licensing Codes and Conditions of Practice of our Society Lottery License.

LFS – Lottery Fundraising Services Limited, an External Lottery Management company (ELM).

Terms and Conditions – The rules of participation in the TVAA lottery.

Cash Prize – Monetary prize in the weekly draw

Ticket – One chance in the weekly draw

Cleared funds – Appropriate funds received by TVAA to ensure participation.

5.1      These Terms and Conditions are the Lottery Rules. By entering the lottery, entrants agree to be bound by these rules.

5.2      This lottery is being promoted by and on behalf of Thames Valley Air Ambulance.

5.3      For the purpose of the Gambling Act 2005, this lottery is defined as a “Society Lottery”.

5.4      This lottery is licensed and regulated by the Gambling Commission, Licence No 000-005167-N-304999.

5.5      To enter the lottery, you must be resident in Great Britain and aged 16 (sixteen) or over.

5.6      There will be 11 weekly cash prize winners although additional prizes could be offered from time to time, including a rollover.

5.7      All tickets shall be priced at £1.00.

5.8      All lottery entry sales are final, and no refunds shall be made at any time.  All entrants acknowledge that their payment of £1.00 per ticket to enter the lottery does not guarantee that they will win any prize.

5.9      The draw for the prizes will be made at the Lottery Fundraising Services premises and held weekly.  You do not need to be present at the draw to win the lottery. A list of weekly winning numbers will appear on our website: https://www.tvairambulance.org.uk/support-us/lottery/

5.10    If a cash prize is awarded, this will be made by cheque in the name of the entrant only.

5.11    Winning prize cheques are valid for 6 months, after such time the prizes will be subject to surrender and not re-issued.

5.12    Thames Valley Air Ambulance reserves the right in exceptional and unforeseen circumstances to substitute any non-cash prizes acquired for the lottery for a similar prize at Thames Valley Air Ambulances’ absolute discretion.

5.13    Full payment for each ticket must be received either in the form of cash or cleared funds before the ticket can be entered into the draw. Only tickets for which full payment has been received either in the form of cash or cleared funds are eligible to win a prize.

5.14    The winners of the lottery prizes will be notified by either, phone, email or letter.

5.15    All entrants are solely responsible for providing Thames Valley Air Ambulance with their accurate and up-to-date contact details and Thames Valley Air Ambulance will, in no way, be liable for any failure or inability to contact any entrant due to any errors, omissions or inaccuracies in the contact details that the entrant has provided. If an entrant changes their contact details, they will be solely responsible for advising Thames Valley Air Ambulance of the change.

5.16    By accepting the prize, the winner agrees to take part in promotional activity and Thames Valley Air Ambulance reserves the right to use the name and address of the winner, their photograph and audio and/or visual recordings of them in any publicity unless prior notification has been received.  

5.17    Each game number is unique. A randomly selected game number will be issued with the confirmation of entry. Any member may subsequently request an alternative game number if they wish at any time and this will be issued providing that it has not already been allocated to an existing member.

5.18    Lottery membership can be cancelled at any time by notifying Thames Valley Air Ambulance in writing, by phone or via e-mail.

5.19    Thames Valley Air Ambulance shall not be liable to the member for any loss or damage suffered or arising from: –

  • Any delays or failures in the postal service or other delivery methods used by Thames Valley Air Ambulance or the member from time to time.
  • Any delays or failures in any software or other systems used by Thames Valley Air Ambulance for the administration of the lottery.
  • Any delays or failures in the Banking system used by Thames Valley Air Ambulance or the member.
  • Any refusal by Thames Valley Air Ambulance to accept registration of an individual as a member.
  • Any failure to enter a chance into the draw.
  • Any event beyond the reasonable control of Thames Valley Air Ambulance.

5.20    Nothing within these terms and conditions shall create or should be construed as creating any form of contract between any entrant and Thames Valley Air Ambulance.

5.22    Thames Valley Air Ambulance is committed to protecting members’ privacy. 5.23    An individual has the right to access the information we hold about them. To obtain this information or if you have any questions regarding how we use your personal data, please contact DPO@tvairambulance.org.uk.

5.24    Thames Valley Air Ambulance do not sell personal data to third parties.

5.25    In the event of any dispute regarding the rules, the decision of Thames Valley Air Ambulance shall be final, and no further correspondence or discussion shall be entered into.

5.26    Thames Valley Air Ambulance employees are not permitted to play any one-off raffles organised by TVAA but are permitted to join the weekly TVAA Lottery.

5.27    Thames Valley Air Ambulance reserve the right to amend these Terms and Conditions at any time and will update our website accordingly

5.28    Thames Valley Air Ambulance reserves the right to disqualify any entrant if it has reasonable grounds to believe the entrant has breached any of these rules.

5.29    The Thames Valley Air Ambulance members responsible for the promotion and management of the lottery are Neil Harman, Director of Fundraising and John Wilcox, Head of Finance.  Responsible persons are not permitted to take part in the TVAA lottery.   Either named person can be contacted by sending an email to  info@tvairambulance.org.uk.

5.30    Neither Thames Valley Air Ambulance nor our External Lottery Management company shall be liable to you in contract,  tort, and negligence or otherwise for any indirect or consequential loss suffered by you in relation to your participation in the Lottery (including loss of the opportunity to enter the Lottery and / or the chance of winning a prize).

5.32    This lottery is a form of gambling and participants are encouraged to gamble sensibly. Should gambling become a problem we recommend you contact the National Gambling Helpline on 0808 8020 133 or visit their website on www.gambleaware.co.uk. 5.33    Thames Valley Air Ambulance limits the maximum number of entries to £20 per person per week.

5.34    Anyone under the age of 16 may not enter the lottery. If an individual is found to be under 16, they will not receive any prizes and their membership will be cancelled immediately.

5.35    A copy of these rules may be obtained by sending a stamped addressed envelope to Thames Valley Air Ambulance, Stokenchurch House, Stokenchurch, Buckinghamshire, HP14 3SX.

5.36    The Laws of England and Wales shall govern the interpretation and/or enforcement of these Terms and Conditions and Thames Valley Air Ambulance, and all entrants hereby submit to the exclusive jurisdiction of the English courts.
